Best Viable Practice

When applying marketing material and training to key procurement personnel, please be aware that stressing a one-door policy is essential to gain internal and external integrity for fair supplier inclusion. Establish your outreach where the same concept exists.

If you visit chambers of commerce that do not demonstrate a blend of all entrepreneurs, then perhaps this will not constitute a complete outreach group for your program. The idea is to always share a consistent method for doing business with your organization.

Make a checklist for everyone in the organization to use for doing business.  Develop a decision tree that includes all scenarios for making potential vendor contact. 

For example, what happens when a vendor mails a letter of interest to the President of the organization? Where is that particular letter routed and how is it handled for reply? 

One process must be established and practiced to meet fair inclusion management?

What are buyers held accountable for when they are expected to meet prospective suppliers?  Should they meet with suppliers, as a simple courteous, even though they are not required to the do the same with all other businesses?  In some cases this may seem trivial, but these are precisely the cases that change the complexion of a well designed and managed supplier inclusion process?  When related inconsistencies are not addressed it does not meet a best viable practice.

Most human resource groups have a sound practice for intake methods. Supplier management groups should consider working closer with HR to identify their inclusion and outreach practices.  The main point to create and employ a ONE door application for all suppliers.
